Department Transportation Portal — How-To Guide

Demo Academy · telling the transportation office what your people need for the coming year · updated July 2026

1. Signing in

  1. Open demo.ysplatforms.com in any browser (computer or phone).
  2. Sign in with your department username and password (from the transportation office). You land straight on your department's page.
Sign-in screen
The sign-in screen. Forgot the password? Use "Forgot your password?" or call the office.

2. Your list — and where each person stands

The page lists every person the office has on file for your department. Each card shows the schedule and addresses currently on file, plus a colored chip telling you where that person stands:

ChipWhat it means
not updated yet You haven't touched this person yet this year.
saved ✓ You saved changes — but they are NOT sent yet.
sent — locked Sent to the office. Locked while the office reviews it.
office needs a fix The office sent this person back with a note — open the card, read "The office wrote," fix it, and send again.
This person also belongs to another department. Fill in only the days YOUR department arranges — the other department confirms its own days.
The person list with status chips
The list: one card per person, each with its status chip. A progress line above ("3 of 4 people updated") tracks how far you've gotten.

3. Updating one person

One open person card
An open card — this one was returned by the office, so the yellow "The office wrote" note shows at the top.
  1. Nothing changed? Press the green "No changes — confirm this schedule" button and you're done with this person.
  2. Days & times: tick the days the person rides, and set the arrival (coming in) and dismissal (going home) time for each day. Sundays have their own Sun Yiddish / Sun English rows — fill whichever one(s) your people keep.
  3. Riders: the number of seats needed each way (a teacher bringing children along needs more than one).
  4. Same times every day? Press copy ↓ on the day that's right — every other day's button turns into paste here; tap it on each day that should get the same times. Much faster than retyping.
  5. Another department arranges some days? Leave those days unchecked — that department confirms its own days.
  6. Addresses: two separate boxes — the official home address, and the transportation pickup/drop-off address if the van should use a different one (a babysitter, for example). Leave a box empty to keep what's on file.
  7. Press Save. Reset unsaved changes undoes typing you haven't saved yet.
The address is checked on a map when you save. If the spelling lands the pin in the wrong town, the save is refused with a clear message — fix the spelling and save again. If the map slightly corrected the address, the green "Saved" line tells you exactly what it was corrected to.

4. Someone missing? Someone not returning?

  1. Missing: use "Someone missing from the list? Add them here" at the bottom — name, phone, address, days. Do not re-add someone who is already on the list; update their existing card instead.
  2. Not returning (or simply needs no vans next year): open their card and tick "Not returning / needs no vans next year." That tells the office to take them off the routes — leaving a card untouched does NOT.

5. Sending it to the office

  1. When every person shows saved ✓ (or is confirmed unchanged), press "Send to the transportation office" at the bottom.
  2. The button asks you to press once more to confirm — then everything locks while the office reviews.
  3. If the office needs something fixed, that person comes back as office needs a fix with a note — a yellow banner at the top counts how many were returned. Fix and send again; only the returned people unlock.
Saving is not sending. A card marked saved ✓ is still only on your screen's worklist — the office sees it once you press Send to the transportation office.

6. Quick answers

QuestionAnswer
Can I change something after sending? Not while it's locked. Call the office — they can return the person to you, which unlocks the card.
What about mid-year changes? This portal is for the NEW YEAR only. During the year, call or text the office as always.
A person shows "Shared with" another department — who fills what? Each department checks and confirms only the days IT arranges. If you both send times for the same day, the office sees the overlap and sorts it out.
Which Yiddish / English row do I use?Fill the schedule(s) your people actually keep — Yiddish, English, or both rows if you have both kinds.
